The Arizona Animal Welfare League (AAWL) is seeking a highly-skilled, bi-lingual Executive Assistant to serve as a strategic partner to our President & CEO. This role goes beyond traditional administrative support—you will play a critical part in:

•    Enhancing donor relations and supporting fundraising efforts.
•    Strengthening board and leadership communications.
•    Fostering an inclusive, collaborative staff culture.
•    Leveraging technology (including AI tools) to streamline operations and inform decision-making.
•    Supporting our Access to Vet Care program that provides low-cost vet services for pet families in need.

Responsibilities

Executive & Donor Support (50%)

•    Manage the CEO’s calendar, travel, deadlines, deliverables, priorities, and communications.
•    Support donor engagement, including database management, correspondence, and follow-up.
•    Prepare materials for meetings and presentations, ensuring the CEO is always well-prepared.

Board Relations (20%)

•    Serve as primary liaison to the Board of Directors.
•    Coordinate logistics, communications, and materials for board and committee meetings.
•    Track board goals, support governance activities, and manage orientation for new members.

Staff Culture & Operations (20%)

•    Plan and coordinate staff meetings, trainings, and team-building activities and track follow-ups.
•    Partner with leadership to implement organizational values and improve communication.
•    Track organizational goals and support professional development initiatives.

Additional Responsibilities (10%)

•    Work from 8 a.m. to noon Saturdays as one of two front desk receptionists at our Community Vet Clinic. 
•    Perform other administrative duties as needed, including supporting other directors & departments. 

Qualifications

•    3+ years of experience as an Executive Assistant or in a comparable administrative role.
•    Strong written and verbal communication skills, including bilingual fluency in Spanish and English.
•    High level of proficiency with MS Office Suite, Zoom/Teams, and project management tools.
•    Experience managing multiple priorities, handling confidential information, and building relationships with diverse stakeholders.
•    High school diploma required; associate’s or bachelor’s degree preferred.
•    Valid driver’s license and reliable transportation.
