The Volunteer & Events Coordinator plays a vital role in advancing AAWL's mission by supporting volunteer engagement, community outreach, and event execution. This position is responsible for recruiting, onboarding, training, and retaining volunteers while coordinating a variety of community, fundraising, and organizational events.
Working under the direction of the Volunteer & Events Manager, the Coordinator oversees volunteer communications, training, recognition, and scheduling while also supporting event planning, logistics, vendor and partner coordination, inventory management, and onsite event operations. This role serves as an important liaison between volunteers, staff, community partners, and donors to ensure successful programs and positive experiences for all participants.
Supervision Received: This position reports directly to the Volunteer & Events Manager, and is part of the Community Engagement Department.
Supervision Exercised: This position provides guidance to volunteers during events but does not supervise paid staff.
Responsibilities
Volunteers:
Develop and implement strategies to recruit, onboard, train, and retain volunteers through community outreach, speaking engagements, marketing collaborations, and volunteer engagement initiatives.
Review volunteer applications, conduct orientations, and facilitate onboarding for new volunteers.
Develop, maintain, and continuously improve volunteer training resources, including online learning materials, videos, resource guides, and in-person training opportunities.
Maintain ongoing communication with volunteers through newsletters, email communications, volunteer Facebook groups, and other outreach channels.
Foster positive volunteer relationships by serving as a primary staff liaison and providing timely support.
Assist with conflict resolution by facilitating productive conversations and addressing volunteer concerns.
Oversee volunteer recognition efforts, including tracking volunteer hours, milestone awards, appreciation initiatives, Volunteer Appreciation Week, and annual recognition events.
Collaborate with department leaders to identify volunteer needs, develop meaningful volunteer opportunities, and evaluate volunteer effectiveness.
Manage volunteer records and reporting through the Better Impact volunteer management system, including volunteer hours and participation tracking.
Events:
Coordinate logistics for onsite and offsite events, including community outreach events, adoption events, vaccine clinics, fundraising events, tabling opportunities, group experiences, and internal staff and volunteer appreciation events.
Recruit, schedule, train, and communicate with volunteers assigned to events, ensuring adequate staffing and clear expectations.
Coordinate event preparation including timelines, supplies, transportation, setup, breakdown, signage, and event materials.
Serve as the primary onsite contact for volunteers, vendors, partners, sponsors, and participants during assigned events.
Assist with planning and execution of AAWL signature fundraising events including Walk to Save Animals, An Evening to Paws, Design for Dogs, and other organizational events.
Coordinate onsite Group Experiences, including scheduling, preparation, facilitation, and follow-up.
Support staff culture initiatives by coordinating employee appreciation activities and leading the P4 Committee.
Qualifications
Education & Experience:
No degree required.
Previous experience in volunteer or event management is preferred.
Proven experience in coordinating programs and projects.
Strong organizational skills with the ability to manage multiple tasks and deadlines efficiently.
Ability to maintain confidentiality and handle sensitive information appropriately.
At least one year of experience in customer service.
Strong interpersonal skills with a passion for working with diverse communities and fostering collaborative relationships with volunteers, staff, and the public.
Exceptional verbal and written communication skills.
Strong problem-solving and conflict resolution abilities.
Ability to work effectively with individuals from diverse backgrounds within the AAWL organization and the broader community.
Proficiency in basic computer software, including Microsoft Office Suite, Google Drive, and similar tools.
Must be able to work a flexible schedule, including Sunday – Thursday as the primary schedule, with evenings, weekends, and Saturday events as needed.

Employment Details
Pay range is $17.50 to $20.00 per hour.
