The Development Coordinator will assume responsibilities in supporting members of the Development team, consisting of a Director of Philanthropy, Donor Relations Manager, Major Gifts Officer and the President/CEO, as well as work collaboratively with other department staff to advance the mission of Arizona Animal Welfare League.

The Development Coordinator has an essential role in providing vital administrative and operational support for all fundraising activities. This includes but is not limited to:

  • Conduct research, compile information and maintain current and prospective donor profiles.
  • Coordinate donor engagement and special event activities.
  • Maintain donor activity, information and record all gifts in the donor database (Raiser’s Edge) as well as manage and deliver related reports.
  • Produce donor acknowledgment letters and help develop cultivation, solicitation, and donor stewardship packages.
  • Be the initial contact for donor calls, inquiries and facilitate all follow-up or necessary additional correspondence.

REPORTS TO: Donor Relations Manager

Responsibilities

Database Administration:

· Maintain accuracy and integrity of the Raiser’s Edge database information.

· Process all incoming donations into the Razor’s Edge database.

· Work with the Finance Director to process weekly/monthly deposits. Compile monthly reports and reconcile these with the Director of Finance.

· Support the annual reconciliation process, overseen by the Director of Finance.

· Maintain reporting schedules and pulling reports as necessary; Maintain development tracking spreadsheets, incorporating regular updates.

· Ensure the Development Department procedures and practices are well documented.

· Troubleshoot database issues.

Managing Acknowledgment Process:

Ensure weekly gift acknowledgment for all incoming donations.

Call and thank all donors $500 and up who are not in a portfolio.

Administrative Support

Work with President and CEO and Donor Relations Manager to capture all meaningful contacts with donors in Raiser’s Edge, including recording donor communications during in-person meetings and via email/text.

Support the President and CEO and Donor Relations Manager by preparing and sending materials for solicitors, donors and board members.

Draft correspondence and reports as requested.

Assists in scheduling meetings with prospective funders and donors.

Research and qualify new prospective donors.

Respond to phone and email inquiries from donors, and community members.

Attend regular staff and department meetings.

Event Logistics

Handle all planning and execution of our annual Evening to Paws gala and support execution of our annual Design for Dogs event, including arranging for invitations, food, and other logistics.

Identify and cultivate potential donors and donor prospects who would be interested in sponsoring tables at our annual gala and other fund-raising events.

Work collaborative across departments to organize regular planning meetings leading up to events to ensure timelines and goals are being met.

Manage vendors and events consultant executing day-of logistics.

Manage follow-up stewardship efforts with event participants to advance their relationship with AAWL.

Qualifications

 B.A. or equivalent and at least two years of development and event planning work experience preferred.

Experience in non-profit, advocacy or other community-based groups is valuable.

Combination of development/event planning experience will be considered in lieu of education.

Excellent organization and administrative skills: a strong, consistent attention to detail, an organized work style, and the ability to follow through on work assignments with a minimum of direct supervision.

A demonstrated ability to communicate clearly, confidently and professionally in a wide range of in-person and written interactions.

Strong decision making and problem-solving skills.

Strength in proofreading and an ardent attention to detail.

Excellent interpersonal, relationship building and collaboration skills to effectively establish and maintain professional relationships with staff, donors, vendors and community partners.

The ability to unitize computers and programs for efficient database management and document development. (Microsoft Suite – Word, Excel, PowerPoint, Teams, Adobe, etc.)

A commitment to professional ethics and maintaining the confidentiality of donors and families.

The ability to work on several projects at various stages of completion with strong decision making and problem solving skills.

Flexibility, determination and good humor.

Employment Details

WORK ENVIRONMENT/HOURS

§ The Development Coordinator will be expected to work in the AAWL office Monday through Friday 8:30 a.m. to 5 p.m.

Occasional work from home may be available on an as needed basis depending on tasks and meetings.

Flexibility to work evenings and weekends when necessary to represent AAWL, accommodate donor availability and attend community events.

The office is located in a kennel environment that houses dogs & cats of many sizes & temperaments.

COMPENSATION & BENEFITS

This is a full-time, non-exempt position. The salary range for this position is between $50,000 and $61,297 depending on experience and is commensurate with similar local/regional non-profit salaries. Benefits include employer-paid medical insurance, paid vacation/sick time off, and 12 paid holidays.
